Atlas Privacy Policy
This privacy statement explains in general terms how Atlas Counselling protects the privacy of your personal information. It will apply to any personal information you provide during your dealings with me.
I am registered with the Information Commissioner’s Office ZA346421 as Mrs Gillian Hartley. My postal address is 653 Halifax Road, WF15 8HG. My telephone number is 07871 496 960 and my email is gill@atlascounselling.co.uk.
What information do I collect?
I collect the following Personal Data from you:
Identity Data which may include your first and last name, and any other personal information you choose to disclose to me when contacting us and during the initial assessment.
Contact Data may include your email address and telephone numbers.
How I collect the information
I may collect personal information about you when you deal with me over the telephone, send me correspondence by email, visit our website or when you have contact with me in person. As well as collecting information directly from you, there may be on occasions when I collect information from you from a third party.
When do I collect your personal data?
Personal data is collected in the following methods:
1 – filling in forms on my website
2 – communicating with me by telephone or email
How and why do I use your personal data.
I collect your personal information for the following purposes:
1 – To contact you to follow up your enquiry
2 – To arrange an appointment
3 – To follow up with future appointments
If you decide not to proceed with sessions, I will ensure all your personal information is deleted within 3 months.
The Data Privacy Law allows this as part of our legitimate interest in understanding our customers and delivering the best possible service.
How I protect your personal data
We will treat your data with the utmost care and have put in place appropriate security measures to prevent your personal data from being accidently lost, used, or accessed in an unauthorised way, altered, and disclosed.
We will notify you and any applicable regulator of a breach where we are legally required to do so.
Disclosure of personal information to third parties
I will not disclose your personal information to third parties without your consent unless disclosure is necessary to prevent a threat to life or health, authorised or required by law, reasonably necessary to enforce the law or necessary to investigate a suspected unlawful activity. I will not disclose your personal information for marketing purposes.
Online platforms: When I use online platforms for my online sessions, I take into consideration their security and how compliant they are with current regulations.
Banking Apps: I use a banking app to keep records of my business income for HMRC purposes, and for my accountant to complete my annual self assessment for tax. Therefore, if you pay by bank transfer your name and the amount paid will be held by my bank and will appear on my records. The reason for your payment is not necessary. My accountant will see your name and amount paid and I ensure that they do not use your information in any other way than the task for which they have been assigned. If I am subject to an HMRC tax audit of my records I will notify you if any identifiable information is legally required.
In the event of my death, unexpectedly or I am incapacitated whilst we are under contract, I have nominated a trusted counsellor (retired) to gain limited access to my current records (your name and contact details only) to contact you.
Resolving your concerns
If you wish to gain access to your personal information, have a complaint about breach of your privacy or have any query on how your personal information is collected or used please forward your request, complaint, or query to the address below. I will respond to you as soon as possible.

Data Security
I take the security of data I hold very seriously and as such I take every effort to make sure it is kept secure. After our sessions/contract has ended, I keep your records for five years and then are securely destroyed.
